Payment administration

Coordinate the payment information around the commercial arrangement.

Payment administration here means coordination and record-keeping: making sure the right information sits with the right party at the right point in an agreed process.

  • Coordination
  • Reconciliation

01 The principle

Keep payment information inside the commercial flow.

When payment information lives outside the arrangement — in inboxes, spreadsheets and separate portals — reconciling it later becomes an investigation. Keeping it inside the commercial flow means the record builds itself as the work happens.

Saturn Group Services provides commercial and administrative coordination. It is not described as a payment processor, a payment institution, an electronic money institution or a payroll bureau, and no regulated payment-services status is claimed.

Payment flow Conceptual workflow
  1. 01 Workforce cost A workforce-related cost arises within the agency’s operating cycle.
  2. 02 Funding arrangement Where the cost qualifies and funding has been agreed, it is handled under the arrangement.
  3. 03 Payment information The relevant payment information is coordinated between the participating parties.
  4. 04 Commercial record The transaction is recorded against the arrangement and its documentation.
  5. 05 Reconciliation Funded costs, payments and applicable charges are reviewed to a clear commercial position.

02 What is covered

Five areas of payment administration.

Agreed payment processes
The processes the parties have agreed, documented so everyone is working to the same sequence.
Payment information
The information required for payments to be coordinated correctly within the arrangement.
Commercial parties
Who is involved, what each needs and when they need it.
Transaction records
Records of transactions kept against the arrangement rather than scattered across systems.
Supporting administration
The handling work around the payment process that otherwise falls on the agency.

03 In practice

Fewer reconstructions, fewer surprises.

Good payment administration is mostly invisible. Its value shows up at the points where something needs to be evidenced: a query from a client, a reconciliation at the end of a period, or a question about what was funded and when.

Because the record is built against the arrangement rather than after the fact, those moments become a lookup instead of a reconstruction.
